Intellitix FOS App Overview

The Intellitix FOS App is the software that will be used on your Point-of-Sale (POS) device during an event to run cashless transactions. All vendors, vending locations, and menus are configured in the event’s Intellitix Cloud account. For more information on how to create vendors, vending locations, and menus visit this article

The Intellitix FOS App is available on the Google Play store for Android devices. You can obtain the most recent version of the Intellitix FOS App from your Project Manager.

Accessing a Vending Location’s Login QR Code 

Before you can start using the Intellitix FOS App, you will need to create your vendor(s), vending locations, and vendor’s menus. 

Once this has been completed, follow the below steps on how to access a vending location’s login QR code. 

  1. From Intellitix Cloud, click the Vendors page on the left-hand menu.
  2. You will be brought to a list of events within your organization. Locate your desired event and click View Vendor(s).
  3. Next, you will see a list of all vendors created for that event. Locate the specific vendor you want to log into, and then click View on the right-hand side. 
  4. You will be brought to the Vending Locations tab. Click on the QR code icon next to the vending location you want to log into. ​​This will display the QR Code required for logging in to the POS device via the Intellitix FOS App. 


Login QR codes remain valid for 7 days. After this period, the code changes as part of our security measures.

Logging in to your Point-of-Sale Device

Once you've installed the Intellitix FOS App on the POS device and located your login vending location QR code, you are now ready to use the QR code to log in to your POS device.


We recommend having digital/printed copies of the vending location QR Codes handy during the event. 

Below are step-by-step instructions on how to log into a vending location: 

  1. Tap the Intellitix FOS App icon on the POS device, then tap Login.
  2. Tap the QR Code icon. If you’re scanning for the first time, you may be asked to allow Intellitix FOS to access your camera and record audio. You must permit both the camera and audio to allow scanning.
  3. Scan the vending location QR code. 
  4. Enter the First Name, Last Name, and Email of the person using the POS device. This user information gets carried over to Intellitix Cloud reporting. Once the user fields are filled in, tap Finish.

RFID Events

The process of completing a cashless transaction using the FOS App varies depending on the type of event: RFID event or card present/QR payment event. The details provided below specifically relate to RFID events.

There are two ways a guest can make a purchase using their wristband/card. 

  1. Attaching a payment method, credit or debit card, to their wristband/card from their Intellitix Web account. 
  2. Topping up either online through their Intellitix Web account (if the event has enabled this) or by visiting an on-site top-up location and loading funds to their wristband/card’s Event Balance.

Step-by-step Instructions

Once your device is logged into the FOS App, follow the below steps to complete a transaction: 

  1. Tap the guest’s wristband/card on the back of the POS device to start the transaction. 
  2. You will then be brought to the Menu screen. At the top of your POS device, you will be able to see details such as:
    • a. The vendor
    • b. The vending location
    • c. The logged-in user

  1. From the Menu screen, you can customize your FOS App view by selecting:
    • a. A custom filter
    • b. A category
    • c. The sorting feature

As you continue to run transactions with your POS device, your FOS App will update and show you the Best Seller items at the top of your screen. 

  1. To build the guest’s cart simply tap the desired products from the menu. Below are the different types of products that could be available: 
  • Products with one price and one size
  • Products that have more than one product size
  • Free products
  • Products that you can select the price at the time of purchase

As you select products, the guest’s cart will update on the right-hand side of the FOS App. You can scroll up and down to see the full cart. If you’d like to remove a product, simply tap on that product line item in the cart. 

At any time, if you’d like to exit a transaction, tap the Cancel Order button on the bottom right-hand corner. Once your guest’s cart is built, and you would like to proceed with the transaction, tap Next

  1. You will then be brought to a screen where it asks you to turn the POS device to the guest to select their tip amount. Guests can decide between a percentage tip, a dollar tip, or to skip the tip. By default, skip the tip will be selected.

On the right-hand side of the screen, the guest can view their cart, tax, tip, and purchase total.

  1. Once the guest is happy with their order, have them tap Proceed to Payment, and then Continue
  2. To complete the purchase, the guest will need to tap their wristband/card for a second time on the back of the POS device.

If the transaction is successful, you will receive an order was successful screen. Then, either tap Start a New Purchase or View the Last Order

If the transaction is unsuccessful, you will receive an Order Unsuccessful screen. For detailed information on the possible reasons for an unsuccessful order and how to troubleshoot it, please refer to this section of the help article.

Unsuccessful Orders Troubleshooting

If the transaction is unsuccessful, you will receive an order was unsuccessful screen. Below is a breakdown of why a transaction may be unsuccessful and how to troubleshoot it.

Insufficient Funds

If the guest does not have funds or an attached payment method, they will need to either:

  1. Visit a Top-up location at the event.
  2. Or, attach a payment method to their wristband/card from their Intellitix Web account. 

If the guest has an attached payment method but receives the Insufficient Funds message, that means their credit/debit card will not allow the purchase. You can view more details about the failed transaction from within the merchant account being used by the event.

Something Went Wrong




Order Unsuccessful

The Something went wrong or an Order Unsuccessful error message can occur for a variety of reasons. 

First, ensure your device is securely connected to a stable network.

If the network connection isn't the issue, attempt the transaction once more by pushing the Try Again button. 

Should the error persist, consider the following troubleshooting measures:

  1. Cancel the current transaction and initiate a new one from the main FOS App menu.
  2. Log out of the Intellitix FOS App and then log back in.
  3. Uninstall and reinstall the Intellitix FOS App.
