Selling Tickets at your Event

Preparing to sell tickets

The first time that you are preparing to sell tickets for an event you will need to begin by initializing the Mobile Box Office.

  1. From Intellitix Cloud, click Events and click on the event you want to sell tickets for by clicking on the name of the event. Then click on the Integrations page.
  2. If it is your first time viewing the Mobile Box Office QR Code you will need to click Initialize Mobile Box Office. If you have previously viewed the QR Code you can click the View Mobile Box Office QR Code.
  3. The QR code that appears can be scanned to log your ticket-selling devices into a mobile box office session. You will need to log each ticket-selling device using this code. You can either:
  • Scan it directly from your computer screen with the device being used for selling.
  • Take a screenshot of the QR code to print or send for later use.

Note

QR Codes will expire after 7 days, so please ensure you do not print or screenshot the QR codes more than 7 days before your event. QR Codes will also regenerate if you switch between different tabs on the page. If the QR Code regenerates, the previous code will still be active until its expiry date.

Logging in the ticket selling devices

  1. On the devices you are using to sell tickets, tap the Intellitix FOS App icon
  1. When the Intellitix FOS App opens, tap Login
  1. Tap Scan to open the camera on your device
    • For a first time scan, you may be asked to allow Intellitix FOS App to access your camera and to record audio. You must give permission to both camera and audio to allow scanning.
  1. Hover the camera on your ticket selling device over the log in QR code to scan. The device will vibrate when the code has been successfully scanned and after a second will advance to the next screen.
    • NOTE: QR codes will expire after 7 days, so please ensure you do not print or screenshot the QR codes more than 7 days before your event. QR codes will also regenerate if you switch between different tabs on the page. If the QR code regenerates, the previous code will still be active until its expiry date.
  1. On the next screen enter the First Name, Last Name, and Email of the person who will be using the device to sell tickets, then tap Finish.
  1. You will be taken to the main screen of the Intellitix FOS App. You are ready to connect your Bluetooth devices and begin selling tickets with your device.

Connecting a Bluetooth Printer in Intellitix FOS App

If you intend on using the Mobile Box Office feature to sell tickets at your event a Bluetooth printer needs to be connected to your Intellitix FOS App. 

Before starting, double-check that your: 

  • Mobile device is sufficiently charged 
  • Printer is plugged into a working power source 
  • Printer is turned on
  • Printer is loaded with paper - paper should be loaded with the paper feeding under the spoil, not over it

You should also make sure that you have access to your Mobile Box Office QR Code. The Mobile Box Office QR Code is located in Intellitix Cloud and is an easy method to log into your Intellitix FOS App. 

See below for instructions on how to locate the Mobile Box Office QR Code from your Integrations page in Intellitix Cloud. 

  1. Click the event name or the edit button to enter the event’s settings
  2. Click Integrations from the top menu
  3. If you’ve never accessed the Mobile Box Office QR code click initialize Mobile Box Office, if you have already initialized the code click View Mobile Box Office button

Bluetooth Printer Connection Instructions

  1. Log into your Intellitix FOS App using the Mobile Box Office QR Code. To log in to Intellitix FOS, please refer to the “Logging in to your Mobile Box Office device” section in the article here
  1. Once you are logged into your Intellitix FOS App tap on the three green lines (the hamburger menu) in the upper right-hand corner and select Printer.
  1. Select Discover Printer
  1. Then tap the printer you would like to connect your Intellitix FOS App to. 
    • The blue light beside the printer’s power button will be solid when it has been connected to the device.
  1. Once you have successfully connected your Bluetooth printer, tap on the back arrow to start selling tickets.

Troubleshooting

Issue: A beeping noise is coming from the printer. 

Troubleshooting Steps: This beep is likely due to a paper jam. There are two ways to address this issue:

  1. Click the paper dispensing button which will feed the printer paper and help to un-jam the device. 
  2. Open the paper dispenser area of the printer and un-jam the paper manually. Make sure the paper is feeding from under the spoil not over it.
  3. Turn the device off and back on. 

 

Issue: When you tap on ‘Discover Printers’ a paired device is not shown.

Troubleshooting Steps: If your Bluetooth printer is not currently connected to your device, the printer will not pop up when you tap on Discover Printers. A couple of troubleshooting steps you can try: 

  1. Turn the printer on and off 
  2. Turn the mobile device on and off 

Once you have turned your devices on and off, you go back to your Intellitix FOS App and try completing the connection steps again. 

The blue light beside the printer’s power button will be solid when it has been connected to the device.

 

Issue: The Bluetooth printer became disconnected from the device. This will be indicated by a blinking blue light next to the printer’s power button or by being prompted to reconnect in the ticket purchase process.

Troubleshooting Steps: Revist the Printers section from the Intellitix FOS App home screen and follow the connection steps again.

Bluetooth Card Readers Overview 

Which type of card reader you use will depend on your merchant account and event’s location.

Stripe merchant account, located in Canada uses the Stripe Wisepad 3.

Stripe merchant account, located in the United States uses the Stripe M2.

If you would like to allow card-present transactions for cashless sales at your event in Canada, and your merchant provider is Stripe you will use the Wisepad 3 as your card reader in conjunction with your Mobile Box Office device. In this article, the Wisepad 3 will be referred to as the “card reader.”

 

  1. Power on the card reader by holding in the power button in the top right corner until the screen lights up.
  1. You can view the Bluetooth connection and battery power status in the top right corner of the screen. 
    • A solid Bluetooth symbol indicates that it is connected to a device running Intellitix FOS and is ready to take payments.
    • A blinking Bluetooth symbol indicates that the card reader is not connected  to a device running Intellitix FOS and is not ready to take payments

Stripe merchant account in the United States

If you would like to allow card-present transactions for cashless sales at your event in the United States, and Stripe is your merchant provider you will use the M2 as your card reader in conjunction with your Mobile Box Office device. In this article, the M2 will be referred to as the “card reader.”

 

  1. Power on the card reader by holding in the power button in the top left corner until the green dots light up and you hear a subtle beep. 
  1. You can view the battery power status on the top of the card reader when you push on the power button. 
    • 4 small green lights indicates the device is fully charged. 
    • 1 small green light indicates the device is running low battery.

Connecting a Bluetooth Card Reader in the Intellitix FOS App

 

  1. In order to make card present transactions you will need to pair your Mobile Box Office device with your card reader in the Intellitix FOS App. To log in to Intellitix FOS, please refer to the “Logging in to your Mobile Box Office device” section in the article here. Once logged in, tap the three green lines (the hamburger menu) in the top right corner.




  1. Tap the Card Reader option from the menu that appears. 


  1. Once the Welcome to Cashless screen changes from Initializing to Initialized, tap the green Discover Readers button.
    • If the screen gets stuck Initializing for a long period of time, check to make sure that you have assigned a merchant account to your event in Cloud and that the address associated with the merchant account matches the address of the event.

 

  Wisepad 3: Canadian Events M2: American Events
  1. All available devices will appear on the screen.
  1. Tap the card reader that matches the serial number on the back of your card reader. 

 


  1. If this is your device’s first time being paired with the card reader or became un-paired inbetween uses, you will need to tap on the Bluetooth pairing request at the bottom of your screen. 

If your card reader requires an update, Intellitix FOS will indicate that it is updating. This update could take up to 30 minutes, so please plan ahead and be patient.

  1. Intellitix FOS on your Mobile Box Office device will indicate the card reader is connected. Tap Start to begin the transaction process.

Selling Tickets with Mobile Box Office

  1. Once you are logged in and have connected your Bluetooth devices navigate to the Intellitix FOS App home screen. From here select the Box Office icon.
  1. You will be taken to the Box Office welcome screen. Then tap New Purchase.
  1. The Select Your Tickets screen will have all active ticket types configured in Cloud listed. Tap the quantity, choose the quantity next to the ticket type the purchaser would like to buy, then tap Next.
  1. Then enter the purchaser’s information and tap Next. Only email is required but name, zip code, and phone number can also be collected.

 

 

Wisepad 3: Canada

M2:  U.S.

  1. Your next page will allow you to confirm the order with the purchaser before proceeding. Once the ticket amount and order total is confirmed:
    • If selling in Canada - ask the purchaser if they are paying with Credit, Debit or cash and tap the corresponding button
    • If selling in the U.S. - tap the Pay by Credit or cash button

   

         

  1. Depending on the location you are selling in the card reader will react differently:
    • If selling in Canada - The card reader will light up with the total. Direct the purchaser to either tap their card to the top of the screen or insert their card in the bottom slot to pay.
    • If selling in the U.S. - Have the purchaser tap, insert, or swipe on the card reader. 

     

         

  1. While the payment is being processed the WAITING FOR INPUT messaging will be updated to reflect the status of the payment. 

 

  1. If the credit or debit payment is successful, you will be taken to the “Payment was successful” screen in the Intellitix FOS App. At this screen, the tickets purchased will begin to print. Tickets will also be emailed to the purchaser’s email address provided during the purchase. You can either tap View Last Order if you are done or tap Start New Purchase.

Unsuccessful Payment Troubleshooting

An incomplete transaction will result in an unsuccessful screen, prompting you to press the Try Again button to return to the order confirmation screen where you may try again by selecting a payment method.
